QuickBooks integration
Sync invoices, expenses, and payments with QuickBooks Online.
How it works with Trussi.AI
Connect Trussi.AI to QuickBooks Online so every invoice, payment, and expense flows to your books automatically - no double entry, no month-end scramble.
Most roofing offices run the same loop every month: a job closes in the CRM, someone opens QuickBooks, and the invoice gets typed a second time. Then the payment lands, and it gets typed a third time. The QuickBooks Online integration removes that loop entirely. Trussi becomes the place work is recorded and QuickBooks stays the system of record for the books, with a two way sync keeping them honest with each other.
The sync is job aware, which is the part generic accounting connectors miss. A payment posted against invoice INV-26-0847 does not just reduce accounts receivable - it lands on the Maple Court Residence job, so the job level profit and loss updates at the same time your books do. That is what makes job costing trustworthy at month end instead of a spreadsheet somebody rebuilds by hand.
Historical data comes across on connection, so you are not starting from an empty ledger. Existing customers are matched by name and email, and anything ambiguous is queued for you to map rather than silently merged.
What you can do
- Link your account to QuickBooks Online via secure OAuth
- Map customers and configure two-way sync rules
- Push invoices, payments, and expenses automatically
- Import historical financial data when you connect
What syncs
- Invoices
- Created in Trussi, pushed to QuickBooks Online with the job reference on the memo line.
- Payments
- Recorded in either system and reconciled against the same invoice and job within minutes.
- Expenses
- Material orders and subcontractor costs post as expenses coded to the job.
- Customers
- Matched on connect, then kept in step. New Trussi customers are created in QuickBooks automatically.
- Chart of accounts
- Read from QuickBooks so your existing account structure drives the mapping, not the other way round.
How to connect QuickBooks
- 1Open Settings › Integrations and select QuickBooks.
- 2Authorize through Intuit OAuth using an account with admin rights to the QuickBooks Online company file.
- 3Map your income, expense, and undeposited funds accounts to the Trussi equivalents.
- 4Choose whether customer records sync one way from Trussi or two way.
- 5Run the historical import, review the customer match queue, and confirm.
Connections are managed in Settings › Integrations by an account admin, and can be disconnected at any time without affecting the job history already in Trussi.
